Purchasing Support Supervisor

Department: Operational Support
Location: St. Louis Park, MN

Position Description:

The Purchasing Support Supervisor is responsible for overseeing the support functions related to Purchasing and Operations. You will also provide supervision and direction to the various positions in the Purchasing Support team to ensure Marco’s internal and external client’s expectations and deadlines are met.

Main Responsibilities:

  • Establish, review and maintain Purchasing Support team standard work procedures, policies and guidelines

  • Provide supervision and direction for Inventory Control activities to ensure accurate processing, tracking and support to the organization.

  • Coordinate part number maintenance, product cost and resale prince information including understanding state tax laws and various costing methods

  • Analyze inventory movement including inventory turnover, stock levels, reorder levels, excess, processing adjustments, transfers and variances and determining items for stock, relocation or liquidation based on your analysis

  • Monitor open sales and purchase order reports monthly and escalate as needed

  • Supervise and approve the creation of all types of warehouse sites including supply and parts sites and assign resources to complete usage auditing

  • Oversee quarterly cycle counts to ensure completion, resolving discrepancies and assisting with escalation

  • Actively participate and perform acquisition related activities

  • Provide back-up to other Purchasing Support team members when they are out including becoming cross trained in their areas

  • Accurately maintain and comply with documentation and administrative procedures in a timely basis to include time entry and sales and purchase order processes

Required Qualifications:

  • Associate’s Degree and 2+ years of experience required or equivalent experience
  • Proficient with business collaboration tools including MS Office Applications, Outlook, vendor software and company specific programs
  • Superior oral and written and communication skills with internal and external clients
  • Superior customer service skills- Enthusiastic, dedicated to the challenge of helping other people
  • Superior organizational and time/task management skills with the ability to prioritize tasks and operate with changing priorities in a fast-paced work environment
  • Identity and resolve problems in a timely manner with minimal direction; Gather and analyze information skillfully
  • Demonstrates accuracy and thoroughness; Looks for ways to improve and promote quality; Applies feedback to improve performance; Monitors own work to ensure quality
  • Ability to create & maintain accurate and detailed reports
  • Cost Conscious- Conserves organizational resources
  • Function collaboratively as part of client orientated team; Work well in a group problem solving situations
  • Self-starter with the ability to perform with little or no supervision
  • Strong ability to exercise independent judgement

Supervisory Responsibilities:

Provide daily supervision for the Purchasing Support team members to include:

  • Coach and train team members

  • Be the first escalation point of contact to handle issues and involve direct manager as needed

  • Monitor team coverage, oversee personal time off approval, make sure back-ups are in place and redistribute work to cover when others are out

  • Monitor staffing and equipment needs

  • Handle disciplinary matters, conduct performance reviews and make compensation recommendations
